Event planning can be a whole career by itself, so how can you plan a cost-effective client event without neglecting the rest of your responsibilities as a broker? You know what we’re going to say. Systems! Your client event system will streamline the planning, execution, and follow-up. Here’s how:

Planning

It doesn’t matter if you’re doing a pie-pickup or a marshmallow-roast drop-in or a masquerade gala, planning will set you up for success. You have to determine the when, where, what, and who. Once you know those details, you need an invitation/RSVP card. This can be mailed, hand-delivered, or even set out over social media. A branded and themed invite will get attention and encourage clients to commit to attending. This will guide your final planning.

Execution

Your event should have a flyer, brochure, or program to let your guests know what to expect. At a pie-pickup, you can have named cards designating who gets which pie. At a drop-in or larger event where people can stick around, you will need a program to let people know what’s going on, what’s on offer, and what time the event ends. You may also want a guest book to help track who showed up and who missed the event. A “Welcome” banner or directional signage can help people find your event and are reusable for years to come.

Bonus: Event Swag

From stickers to water bottles to pens to totes and beyond, give your clients something to remember the event by. Extras can be used in listing presentations, buyer consultations, open houses, and other marketing opportunities.

Follow-up

After the event, thank those who visited with a notecard, email, or phone-call. (Remember the guestbook idea.) That personal connection extends the event in the memory of your clients and helps them remember you. Send an “it wasn’t the same without you” note to those who missed the event. Your follow-up will remind them that you care about each individual client, whether they came to your event or missed it.

Using pre-set templates with your custom brand is a huge time-saver and no-brainer marketing opportunity. If there is an event you do annually, you can re-use your templates and assets (banners, signs, swag, etc.), and many templates can be easily adapted for different events.
